    When a customer comes to you with a complaint, it’s important to give them your full attention and listen actively to their concerns. This means allowing them to explain their issue without interruption and asking clarifying questions to ensure you fully understand the problem.

    Once you understand the customer’s complaint, it’s important to apologize and empathize with their situation. Let them know that you understand how frustrating the experience has been for them and that you’re committed to finding a solution. By showing empathy, you can help the customer feel heard and understood, which can go a long way toward resolving their concerns.

    For me, allow the customer to express their complaint and listen carefully to their concerns without interrupting or becoming defensive.

    When a customer has a problem that can’t be solved, steps are taken to make sure their concerns are handled. These steps include actively listening, apologizing, gathering information, giving solutions, going to the next level if necessary, and following up.
